Privacy Statement

We respect the Personal Information Protection Act (PIPA) and the EU’s General Data Protection Regulations (GDPR), and this policy explains how we collect and treat any information you give us. Our desire is to explain in easy terms our policy, so you understand to what you are agreeing.

Why we value privacy

International Women’s Club of Bermuda is committed to your privacy. We appreciate that you have trusted us with personal information, and we treat it as if it were our own. By this we mean that International Women’s Club of Bermuda does not sell, rent, lease, or give away personal information such as your email address, phone number, name, home address, etc…. Your information will only be used for internal International Women’s Club of Bermuda purposes. By giving us your email address, you have given us permission to send you emails unless you specifically request otherwise.

How we collect information

In order to use certain sections of this website, you must first complete the online Membership Application, submit your application fee, and be approved by the Board of International Women’s Club of Bermuda.

We use cookies to remember your log-in account. They also enable us to track and enhance your experience on our site. You may reject the cookie and still use our site, but it may be limited in some areas.

Cookies

If you leave a comment on our site, you may opt-in to saving your name, email address, and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select Remember Me, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

What information we hold

  • Membership Application When you join International Women’s Club of Bermuda via our online application, we collect all of the information on the application for membership purposes (i.e. your name, email address, phone number, IP address, etc…).
  • Comments When visitors leave comments on the site, we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection. An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
  • Media If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

How that information is stored

When you contact us by email or through our website, we store your information in our database. We also store your email address, first name, and last name in Mailchimp and Paperless Post, which are the marketing platforms we use. We chose these systems partly for their commitment to security.

A Note About Security:

We use SSL encryption to protect all sensitive information online. We also do everything in our power to protect user-information offline. All of our users’ information, not just the sensitive information mentioned above, is restricted. Only people who need the information to perform a specific job (for example, New Islander’s Chair or Membership Chair) are granted access to personally identifiable information. Furthermore, those with access are kept up-to-date on our security and privacy practices. Anytime new policies are added, they are notified and/or reminded about the importance we place on privacy and what they can do to ensure our members’ information is protected.

What we do with that information

International Women’s Club of Bermuda is the sole owner of the information collected on this site. We do not sell, share, or rent this information to others in ways different from what is disclosed in this statement.

We send all new members a welcome email to verify username and password. Established members will occasionally receive information on invitations to events, IWC membership updates, and a newsletter.

We use IP addresses to analyze trends, administer the site, track user’s movement, and gather broad demographic information for aggregate use.

Who has access to information stored about you

Internal Team Members

When we store information in our own systems, only the people who need it have access. Our team has access to everything you have provided and only what is necessary to do their roles.

Third Party

This website contains links to other sites. Please be aware that International Women’s Club of Bermuda is not responsible for the privacy practices of these sites. We encourage you to be aware when you leave our site and to read the privacy statements of each and every website that collects personally identifiable information. This privacy statement applies solely to information collected by International Women’s Club of Bermuda.

Articles on this site may include embedded content (e.g. videos, images, articles, etc…). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction with the embedded content if you have an account and are logged in to that website.

Where we send your data

Visitor comments may be checked through an automated spam detection service.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

 

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

How to request your information

If your information changes or if you no longer desire our services, we will endeavor to provide a way to correct, update, or remove your personal data. This can usually be done by emailing webmaster@iwcbda.com.

 

If you have an account on this site or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Changes to policy

If we change the contents of this policy, those changes will become effective the moment we publish them on our website.
